Privacy & Cookie Policy
Privacy Policy
Effective Date: 9/1/2026
Governing law: Indiana, United States of America
This Privacy Policy explains how Oloas Property Management, LLC (“Oloas,” “we,” “us,” or “our”) collects, uses, and protects information when you visit our website at https://oloaspropertymanagement.com (the “Site”), use our Operations Portal, or register for an event through our events micro-site at https://oloaspropertymanagement.com/events (the “Events Site”). By using the Site or the Events Site, you agree to the practices described in this policy.
1. Information We Collect
1.1 Information You Provide Directly
- Contact form submissions: The name, email address, phone number, and the content of your message.
- Event registration: The name and email address of the person submitting a registration, and — for team or group registrations — the name and (optionally) email address of each team member. Some events request additional information through a custom registration form (for example, dietary restrictions or shirt size); the specific fields vary by event and are shown on that event's registration page.
- Uploaded files: Some events allow or require a file upload as part of registration (for example, a signed waiver or proof of insurance). Uploaded files are only accessible to event staff and, where applicable, to you via your unique registration link.
- Waiver and consent acknowledgment: If an event requires you to agree to a waiver or consent statement, we record that you agreed and when.
- Operations Portal accounts: For staff and contractors with portal access — name, email address, role, and activity within the portal.
1.2 Information Collected Automatically
- Standard technical information such as IP address, browser type, and pages visited, logged for security and troubleshooting.
- Cookies: a strictly necessary session cookie keeps you securely logged in and protects forms against cross-site request forgery. With your consent, an optional cookie remembers your preferred language. You can decline the optional cookie at any time via our cookie banner.
2. How We Use Information
We use the information above to:
- Operate and maintain the Site, the Operations Portal, and the Events Site;
- Process and manage event registrations, including wait lists and cancellations;
- Send transactional communications — registration confirmations, wait list offers and reminders, cancellation confirmations, and event updates;
- Respond to inquiries submitted through our contact form;
- Maintain the security of our systems and prevent fraud or abuse;
- Comply with legal obligations.
We do not sell your personal information.
3. How We Share Information
- Service providers: The Site and Events Site are built and hosted by an independent website developer and hosting provider, who is not part of Oloas and acts under our instructions solely to provide development, hosting, and technical-support services. We also use third-party email delivery services to send the communications described above; the main Site and the Events Site may use separate, independently configured email providers. These service providers may access or process personal information only as needed to perform these functions on our behalf, and are not authorized to use it for their own independent purposes.
- As required by law: We may disclose information if required by law or in response to a valid legal request.
- Business transfers: If Oloas is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction.
We do not otherwise share your personal information with third parties for their own marketing purposes.
4. Data Retention
We retain event registration information necessary to administer the event, respond to related inquiries, and meet our legal and record keeping obligations. Contact form submissions and Operations Portal activity are retained under our internal record keeping practices. You may ask us to delete information you've provided by contacting us below, subject to any legal or operational reason we may need to keep it.
5. Your Choices
- Cookies: decline the optional language-preference cookie any time; this doesn't affect the strictly necessary session cookie the Site needs to function securely.
- Communications: transactional emails tied to an event registration (confirmations, wait list notices, cancellation confirmations) are necessary to that registration and can't be opted out of individually; cancel your registration if you no longer wish to receive them.
- Access, correction, deletion: contact us any time to ask what information we hold about you, to correct it, or to request deletion.
- Indiana residents: the Indiana Consumer Data Protection Act (effective January 1, 2026) gives eligible Indiana consumers additional rights — including to confirm whether we process their data, access or correct it, delete it, and opt out of targeted advertising, the sale of personal data, or certain profiling. We'll honor these rights on request from any Indiana resident regardless of whether the Act's business-size thresholds formally apply to us.
6. Children's Privacy
The Site and Events Site are not directed at children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we'll take appropriate steps to remove it. Separately, our Terms & Conditions require any event participant under 18 (Indiana's age of majority) to be registered by a parent or legal guardian — see Terms & Conditions §4.6.1.
7. Security
We take reasonable technical and organizational measures to protect the information we collect, including access controls, encrypted connections, and hashed credentials and tokens. Our independent website developer and hosting provider implement and maintain a number of these measures on our behalf, under our instructions, but remain separate from Oloas and are not thereby made a partner, employee, or agent of Oloas. No method of transmission or storage is completely secure, and neither we nor our website developer or hosting provider can guarantee absolute security. If a breach of security triggers notification obligations under Indiana's data breach notification law (Ind. Code § 24-4.9), we will notify affected individuals as required by that law.
8. Third-Party Links
The Site may link to third-party websites. We aren't responsible for their privacy practices and encourage you to review their policies directly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The Effective Date above reflects the most recent revision. Material changes will be reflected on this page.
